01 — Instagram
Tam didn't post on Dr. Lenny's IG today
1.Check the account — no post by 9am. Confirm it's genuinely missing.
2.Instagram Log → Log Post → Client: Dr. Lenny, By: Tam, Status: Missed. Date + time noted.
3.CJ/Tam Log → Incident: "Tam missed Dr. Lenny post on [date]. Discovered [time]."
4.Decision: client-critical? Post something yourself → log as Tam Cover. Or leave it documented.
5.Daily report: "Dr. Lenny IG — Tam missed [date]. I covered it / left it noted." Frank sees the miss AND your response.
02 — CJ Verbal Direction
CJ tells you something verbally that contradicts Frank
1.Do not argue. Acknowledge CJ calmly.
2.Log it immediately in Call Log with the VERBAL flag: "CJ said [X] verbally at [time]. Contradicts Frank's direction to do [Y]."
3.Frank notification: "CJ gave verbal direction today that differs from your instruction. Flagging before I act. [Details]."
4.Wait for Frank to respond before changing course. Verbal CJ ≠ written Frank.
5.Document Frank's response and what you ultimately did. That's your paper trail.
03 — Billing
Client found with no DocuSign on file
1.Note client, active services, how long they've been a client.
2.Log in Billing: Client, Status: No DocuSign found, Services rendered, Discovery date.
3.Frank notification immediately: "No DocuSign found for [Client]. [Services] rendered without agreement. Awaiting direction."
4.Do NOT contact the client about billing yourself without Frank's direction. This is a CJ/Ann situation — Frank owns it.
5.Log Frank's response + what you executed. Close the loop.
04 — Client Call
Dr. Lenny's office calls with site changes + a new procedure page
1.Open Call Log during or immediately after. Log who, what, exact asks.
2.If they reference anything CJ "promised" — log it with the VERBAL CJ tag before doing anything.
3.Action items → tasks. "New procedure page" = WEB task. "Update phone" = WEB task. Log hours as you execute.
4.Frank notification: "Dr. Lenny requested [X]. Executing now. Will confirm tonight."
5.Make changes. Log completion. Frank gets close-out in daily report. Email log gets the confirmation.
05 — Tam Quality
Tam's post went up but it's substandard
1.Screenshot the post. Note specifically what's wrong — format, image quality, caption tone, missing hashtags.
2.IG Log: Posted By Tam, Status: Substandard, specific issues noted, "Evidence: screenshot on file."
3.CJ Log: "Tam — Dr. Lenny IG [date] — substandard. Issues: [list]. Screenshot noted."
4.Frank: "Today's Tam post flagged. Issues: [list]. Replace it or supplement with a Story?"
5.Wait for Frank. Execute. This builds the case for why you should own IG, not Tam.
06 — Scope Creep
CJ keeps piling on work that wasn't in your original scope
1.Time log every task. After a couple weeks you have hours-by-task data.
2.Compare to the service agreement for your own role — what were you contracted to do vs. what you're actually doing?
3.Weekly report to Frank includes your hours breakdown. "15 hrs this week: 8 on clients, 7 on CJ-assigned non-scope tasks."
4.Let Frank see the pattern. Don't editorialize — just show the data. Frank will draw the conclusion.
5.This is also your case for compensation review if scope grows without pay adjustment.
